Crossbar News: Update to Participant Account Management

We’ve heard from some organizations that managing participant accounts can be tricky when multiple guardians or family members are involved. We’re reaching out to share a recent update that introduces a new Primary User concept for participant records. This update is designed to make participant management more consistent and easier to navigate across your organization by creating a clear point of control when multiple users are associated with the same participant.

Here's what's changing:

Each participant will only have one primary user, indicated by a filled star.

Only the primary user can add or remove other users.

The primary user can transfer primary ownership at any time to another user.

Secondary users can no longer manage other users on the record, but can still remove themselves if needed.

There are no other access/permission changes with this change. Secondary users will be able to view all of the same information they could see prior to the change.

No action is required from you. The initial primary user will be assigned automatically as the user who most recently completed a registration for that participant. If you run into a unique situation where the primary user isn’t aligned with the most recent registration, please reach out to us at help@crossbar.org to have it updated.
